VENDORS MAKE THE DIFFERENCE

Vendors are one of the most important reasons the Owasso Gathering on Main has been so successful. Every month our vendors help create a fun, interactive, family-friendly environment for our entire community. But they do more than set a tone. Our Vendors do business.

Every month we hear stories from Vendors about sales they made or contacts that are growing into lasting business relationships. We believe your participation, with the right effort, not only benefits our community but grows your business.

SUCCESSFUL VENDORS

Successful Vendors have these things in common:

  • MEMORABLE – Whether they sell products or distribute information, the most successful Vendors give Gathering participants an experience that’s meaningful and memorable.
  • EZ-UP – you have a 10′ x 10′ area. EZ-UPs are an inexpensive way to define that area. They provide shade in the summer and a place to hang lights and banners throughout the year. They are affordable & available at a number of local stores.
  • LIGHTS – even in summer months, as the sun goes down, lighting can make the difference between being noticed or being just one of the crowd. Battery-powered lights or bringing a small generator for lights or fans can make a world of difference.
  • SETUP – the event begins at 6:00 pm. You can begin setup as early as 3:30 pm. Arrive early and give yourself plenty of time to find and prepare your space. Get set up and finished early so once the Gathering begins you can focus on clients!

We hope these simple tips will help you make the most of your time at the Gathering.

SET UP

We have ONE entrance and ONE exit for vendors. You’re welcome to park away from Main Street and carry your set up to your location, but if you intend to drive in and drop off your gear you must enter Main Street from EAST FIRST AVENUE on the east side of Main Street. A Gathering Volunteer will be there to check you in and tell you exactly where your space will be. Arrive early. The street closes to vehicle traffic at 5:15pm.

Because everyone’s trying to get set up, please pull your vehicle as close to your space as possible, unload quickly, move your vehicle, and then return to finish the details of your setup. EXIT out the NORTH END of MAIN STREET.

CHECK IN AND SETUP TIME

Because set up for the Gathering can get crowded fast we ask each vendor to arrive at their time and on timeFood trucks arrive first at 3:30pmAll other vendors can begin load in at 4:00pm.

While the Gathering begins at 6:00pm people often show up early. For this reason, all vehicles must be off of Main Street by 5:15pm. If you arrive after 5:15 park off Main Street and carry your gear to your space. You will still need to check in at the Gathering Information Booth located on the west side of South Main. Main Street will be closed to all vehicles after 5:15pm.

TELL SOMEONE

Use Facebook, Twitter, Instagram, Word of Mouth and other tools to let people know about the Gathering on Main! Get the word out and invite people to see what you’ll do this month at the Gathering!

GENERAL GUIDELINES

ALL ARE WELCOME

We receive apps from any and all types of vendors. Our vendor review team processes these applications with an eye toward the unique, creative, and memorable.

YOUR SPACE IS YOUR SPACE

With your registration, you receive a 10′ x 10′ space on Main Street, more if you register for multiple spaces! Make the most of the space you have and be mindful that right next to you is someone who also purchased space. We ask Vendors to keep all sales activities and literature distribution within your area. At the end of the evening be careful to take everything home with you and pick up trash in and around your space.

FINISH STRONG

The Gathering is from 6:00 to 9:00pm. As a Vendor your best success will come by staying open until 9:00 pm and waiting till after 9:00pm to begin packing up. Finish strong and don’t miss valuable contacts or sales.

KEEP COMING BACK

Our vendors create an amazing environment for guests of the Gathering. We hope you’ll keep coming back. Occasionally a vendor will be overly aggressive in their sales tactics or attempt to engage guests beyond their space. This can crowd the street and create a negative environment for guests of the Gathering and other vendors. If a member of the Volunteer Gathering Board asks you to adjust your location or behavior please respond quickly and positively. We want everyone to have a great experience. We also want to protect this environment for everyone. Vendors who ignore or respond negatively to requests from Volunteer Gathering Board Members may find future applications denied.

CANCELLATION

We understand that plans change and unexpected circumstances may affect your participation in the Gathering, however, your approved application and registration fee are non-transferrable and non-refundable. In the event the Gathering is canceled due to inclement weather or other unforeseen challenges you will receive a full refund.

SAFETY AND SECURITY

We are committed to safety, security, and quality experiences for every vendor, volunteer, and the public. During regular meetings, the Board of Directors with the Gathering Planning Committee frequently evaluate our policies, procedures, and practices to determine what adjustments need to be made to further the safety and quality of our events.

COSTUMES

For the confidence of all of our guests, we reserve the right to ask individuals to leave the event if they are wearing a costume, uniform, mask, or other materials that cover the face. Costumed characters must be approved by the Gathering Board of Directors.

EXOTIC ANIMALS

According to the City of Owasso, “Any wild or exotic animal not generally recognized to be domesticated are unlawful to keep, harbor, maintain or have in his/her possession or under his/her control within the city limits.” While domesticated pets are welcome at the Gathering, individuals who bring exotic animals will be asked to leave the event. NON-REGISTERED VENDOR SOLICITATION

The Owasso Gathering on Main is a privately scheduled event on public property. As such, we have the authority to restrict businesses, politicians, non-profits, or individuals from attending the event to advertise, solicit or otherwise engage individuals at the event without having been approved as a vendor for that event.

RED ZONE (MAYBE WHITE ZONE)

The red zone is for immediate loading and unloading of passengers only. There is no parking in the red zone. (Not really…this is a shameless and geeky reference to the movie, AIRPLANE.)

WEATHER

The Owasso Gathering on Main happens each month, rain or shine. Our weather gnomes keep an eye on the weather before and during the event. If severe weather affects the Gathering, notification will be placed on this website and the Owasso Gathering on Main Facebook page and website. When lightning or severe weather happens during an event we have a plan and will inform vendors and guests about what to do next.
